Control Amazon Buyer-Seller Messages Before Policy Violations Accumulate

Classify message purpose, remove prohibited content, and approve proactive communication before templates, apps, or agents contact Amazon buyers.

How do you keep Amazon buyer messages compliant?

Require every outgoing message to have a permitted order or customer-service purpose, use Buyer-Seller Messaging or an approved Amazon workflow, and pass a content review before it is sent. Block marketing, external contact requests, review manipulation, and unnecessary personal-data collection.

Amazon generally permits communication needed to complete an order or answer a customer-service inquiry. Proactive messages outside those purposes can be blocked and may lead to restrictions on messaging or selling privileges.

Create a message-purpose matrix

  • Record the trigger, order ID, permitted purpose, sender, channel, template, required deadline, and approval owner.
  • Separate buyer-initiated replies from proactive messages.
  • Map fulfillment issues, returns, invoices, custom-product confirmation, and delivery scheduling to approved templates.
  • Flag review requests, feedback requests, replacements, attachments, and personal-data requests for additional review.
  • Retire templates that contain promotions, incentives, external links, or off-Amazon contact instructions.

Review content before sending

Keep the message limited to the specific order or service issue. Use the buyer's preferred language where Amazon provides translation support, and include only attachments or information required to resolve the transaction.

Third-party apps and API integrations need the same policy control as manual messages. Test triggers, deduplication, language, attachments, opt-out handling, and logging before enabling automation.

Use a pre-send checklist

  • The buyer has initiated contact or the proactive purpose is permitted by Amazon policy.
  • The message is sent through the approved Amazon channel.
  • No promotional offer, coupon, external purchase path, or contact diversion is present.
  • No incentive or pressure is tied to a review or seller feedback.
  • Personal information is requested only when necessary to complete the order and unavailable in Seller Central.
  • The order, template version, sender, and send result are retained for audit.

Account for exceptions and urgent service needs

Custom orders, delivery appointments, invoices, returns, and replacement parts can require proactive contact, but the content must stay within the permitted operational purpose. A buyer's prior message does not authorize unrelated marketing.
