Respond to Amazon Chargebacks With Transaction Evidence

Build a transaction-level response pack for Amazon chargebacks, submit only evidence that answers the dispute reason, and reconcile the final financial outcome.

How should an Amazon seller respond to a chargeback?

Open the chargeback notice, identify the disputed transaction and reason, and choose the available response only after the order record and deadline are clear. If the charge is valid, accept the appropriate financial outcome; if it is incorrect, represent the transaction with evidence that directly addresses the cardholder's claim.

Amazon explains that a seller may refund the transaction or represent it with supporting information, and that the response request appears by email or in Seller Central. Use the live case instructions and due date because evidence fields, response options, and marketplace handling can change.

Build one transaction timeline

  • Record order ID, transaction date, buyer-facing descriptor, SKU, quantity, price, tax, shipping, refund, adjustment, and settlement events.
  • Preserve the listing and checkout terms that applied at purchase, including condition, variation, price, promised delivery, and any disclosed cancellation or return terms.
  • Add fulfillment evidence: handling deadline, ship confirmation, carrier acceptance, tracking events, delivery result, signature or image when available, and the destination shown in the order record.
  • Save the complete Buyer-Seller Messages thread, return request, refund decision, prior claim outcome, and customer-service action without adding off-platform or unrelated personal data.
  • Write a dated chronology that separates verified facts from inference and identifies any evidence gap.

Match evidence to the dispute reason

Do not send the same packet for every chargeback. A non-receipt dispute needs carrier and delivery evidence; an unrecognized transaction needs the order and authorized account context available to the seller; a cancellation or return dispute needs the request, response, return, refund, and settlement trail.

Lead with a short factual summary, index each attachment, and show the exact amount at issue. Large uploads of unrelated invoices or screenshots make the reviewer reconstruct the case and can obscure the decisive fact.

Submit, track, and reconcile the result

  • Assign an owner and record the response deadline displayed in the case.
  • Choose refund or representation only after confirming that a refund, reversal, or prior adjustment is not already pending.
  • Submit through the designated Amazon workflow, then save the confirmation, evidence index, and case reference.
  • Track follow-up requests in the same record and avoid opening parallel support cases unless Amazon directs you to another workflow.
  • Reconcile the final chargeback debit, reversal, fee, refund, and settlement date before closing the case.

Scope and exceptions

Do not confuse a chargeback with an A-to-z claim, SAFE-T reimbursement request, Amazon Pay merchant dispute, carrier claim, or ordinary return. The correct evidence and appeal path depends on the transaction and fulfillment model.

Review [Amazon's current chargeback guidance](https://sell.amazon.com/blog/chargebacks) when the notice arrives. Card-network rules, deadlines, evidence requirements, and financial liability can change, so the case-specific instructions override an internal checklist.
