Reconcile Amazon FBA Inventory With the Inventory Ledger Report

Use beginning balance, receipts, customer shipments, returns, transfers, adjustments, removals, and ending balance to explain every FBA inventory movement.

How should an Amazon seller reconcile FBA inventory?

Choose one FNSKU, marketplace, and closed period, then reconcile beginning inventory plus every inbound and positive movement minus every outbound and negative movement to the ending balance. Use the Inventory Ledger Summary to locate the variance and Detail view to trace the responsible event.

Do not treat a single adjustment as proof of loss. Receipts, transfers, customer shipments, returns, removals, dispositions, and later reconciliation events can post on different dates while representing the same physical unit journey.

Prepare a clean reconciliation file

  • Record seller SKU, ASIN, FNSKU, marketplace, period, fulfillment-center scope, and report-generation time.
  • Export Summary and Detail views for the same period and filters.
  • Normalize event type, quantity sign, reference ID, disposition, fulfillment center, and event date.
  • Link shipment IDs, order IDs, removal IDs, return references, and reimbursement records without merging unrelated units.
  • Keep the untouched source export and a separate working copy for transformations.

Explain the variance in movement order

First verify beginning balance and receipts. Then match customer shipments and returns, internal transfers, removals, disposals, adjustments, and reconciliation entries. A fulfillment-center transfer should not be counted as a network-level loss merely because one location decreased.

If a unit remains unexplained, build a narrow evidence packet with the exact FNSKU, event references, dates, quantities, and prior case history. Avoid opening overlapping cases for the same movement chain.

Close the period with controls

  • Confirm that the calculated ending balance equals the report ending balance by FNSKU.
  • Separate timing differences from permanent unexplained differences.
  • Match any reimbursement or reversal to the same unit event before recording recovery.
  • Document the final disposition and owner for every exception.
  • Repeat the reconciliation after later events post, then close rather than carrying duplicate open variances.

Scope and exceptions

The Inventory Ledger consolidates several historical FBA inventory reports, but report availability, fields, views, and timing can differ by marketplace and account. AWD inventory and merchant-fulfilled stock require their own records.
