What should you do before filing a SAFE-T claim?
Confirm that the order and refund are eligible under the current SAFE-T reimbursement policy, identify exactly why you believe the seller should not bear the charge, and assemble the evidence before opening the claim. A focused order-level case is easier to review than a broad complaint about returns or refunds.
Check the transaction record first. Amazon may already have issued or scheduled reimbursement for some protected delivery or goodwill-refund situations. Do not create a duplicate recovery request when the adjustment is already present or still within the documented processing window.
Build the order-level evidence pack
- Record the order ID, marketplace, fulfillment method, refund date, refund reason, refunded amount, item value, shipping cost, tax treatment, and the exact amount requested.
- Save the Amazon Buy Shipping or carrier label, first acceptance scan, tracking history, delivery event, signature or delivery image when available, and the promised ship date.
- Export the buyer message thread and Amazon notifications without adding off-platform contact or unrelated customer information.
- For a returned item, photograph the package, shipping label, serial number or unique identifier, accessories, condition, and any mismatch before repair, disposal, or resale.
- Write a short timeline that separates verified facts, the applicable policy condition, previous actions, and the requested resolution.
Submit one claim with one calculation
Use the SAFE-T workflow shown for the order in Seller Central and answer each required field directly. Attach only evidence that proves eligibility, financial responsibility, item condition, or the amount. Name files so a reviewer can match them to the timeline without guessing.
Reconcile the requested amount to the settlement record. Exclude amounts already credited, insurance proceeds, carrier recoveries, tax adjustments, or other reimbursements. If several financial events exist, show the arithmetic rather than requesting the original order total.
Track the decision and escalation deadline
- Log the case or claim ID, submission time, revision, attachments, requested amount, response, adjustment ID, owner, and next deadline.
- Respond in the existing claim thread when Amazon requests additional evidence; do not open parallel cases for the same loss.
- If the claim is denied, compare the stated reason with the evidence and current policy before appealing.
- Escalate only the unresolved issue and include the prior claim ID, missing decision, new evidence, and exact requested correction.
- Close the record after the reimbursement appears in the settlement data and the amount reconciles, not when the status merely changes.
Know the eligibility and evidence exceptions
Do not file when the order is outside the eligible workflow, shipment or response requirements were not met, the seller already received compensation, the returned item can still be recovered at the modeled value, or the evidence cannot support the requested amount. Route A-to-z claims, carrier claims, FBA inventory losses, chargebacks, product-safety cases, and account-health matters through their designated processes.
Eligibility, deadlines, protected-label conditions, automatic reimbursements, evidence fields, and appeal options can change by marketplace and refund reason. Confirm the live SAFE-T policy and the order-specific Seller Central workflow immediately before submission.
