How do you reconcile an Amazon disbursement to the bank?
Match the settlement or disbursement amount to its transfer status, initiation date, destination account, and Trace ID, then match that evidence to the bank posting. If the deposit is missing, confirm normal processing timing and bank holidays before opening a case.
Do not compare gross sales directly with a bank deposit. Refunds, fees, reserves, adjustments, prior balances, currency conversion, and settlement grouping can change the net amount transferred.
Create a disbursement control sheet
- Record marketplace, legal entity, currency, settlement ID, disbursement amount, initiation date, and status.
- Capture the masked destination account, transfer method, Trace ID when available, and the report timestamp.
- Link the closed settlement report and preserve its opening balance, sales, refunds, expenses, reserves, adjustments, and closing balance.
- Record bank value date, bank reference, deposited amount, currency, and any receiving-bank fee.
- Separate pending, initiated, completed, failed, canceled, and returned transfers.
- Assign an owner and next action date to every unmatched item.
Investigate in settlement order
First verify that the settlement closed and a transfer was initiated. Next confirm the destination account and currency, then search the bank by amount, date range, and Trace ID. Test whether the bank grouped transfers or deducted a receiving fee before treating the amount as missing.
For an amount mismatch, bridge the settlement components to the net disbursement and keep currency conversion separate. For a failed or returned transfer, correct the underlying bank or account issue using the current Payments workflow and avoid repeatedly changing settings while a transfer is processing.
Close each exception with evidence
- Mark normal timing differences separately from failed or returned transfers.
- Use the Trace ID when asking the bank to locate a completed transfer.
- Attach the settlement report, status evidence, bank statement line, and calculation without exposing full account credentials.
- Prevent duplicate accounting entries when a delayed deposit arrives after month-end.
- Record the resolution date, recovered amount, owner, and any bank or Amazon case reference.
- Review recurring delays by marketplace, currency, bank, and transfer method.
Scope and exceptions
Transfer timing, supported banks, statuses, identifiers, currencies, and available reports vary by marketplace and account. Weekends, bank holidays, compliance reviews, account-level reserves, and receiving-bank processes can delay or change a posting.
